The Dress Code Policy
The objective in establishing this Dress Code Policy at XTRM Group is to allow employees to work comfortably, but safely within the professional environment. Employees must always project professionalism, as one never knows if potential or current clients, visitors or partners may visit the company unexpectedly. Appropriate dress and grooming will help you earn respect and trust.
This Dress Code Policy aims to ensure that all employees of XTRM Group present themselves in a professional, safe, and culturally appropriate manner that reflects the company’s values, complies with industry norms, and upholds health and safety standards.
Here are our General Principles:
- All employees must maintain a clean, neat, and professional appearance always.
- Clothing must be appropriate to the work environment and the specific role performed.
- Company-issued uniforms and safety gear must be worn when required and maintained in good condition.
- Any branded clothing with the XTRM Group logo should be worn with care, as it represents the company in public and professional spaces.
Office Staff (Headquarters & Administrative Roles)
Your appearance is often the first message others receive, and it should support what you say and do. Therefore, wear conservative, professional clothing that is consistent with your role, title, or position. Be neat and clean. Bathe daily, if possible. Use deodorant. Keep your clothes clean, mended, and wrinkle-free. Never allow your appearance or your behavior to draw attention away from your message or your job.
Due to the variance in business and industry models in which all companies revolve around, each workplace is required to develop a dress code conducive to their company and here at XTRM Group, all casual clothing is not suitable (clothing considered suitable for hanging out, hunting, yard work, exercise sessions, or social events is not always appropriate for work environments).
- Clothing that reveals too much cleavage, your back, your chest, your feet, your stomach, or your underwear is not appropriate within all XTRM Group facilities.
- Even in a business casual work environment, clothing should be pressed and never wrinkled.
- Torn, dirty, or frayed clothing is unacceptable.
- Any clothing that has words, terms, or pictures that may be offensive to other employees, clients, or visitors is unacceptable.
- Clothing depicting the XTRM Group logo and branding is encouraged.
- Sports team, university, and fashion brand names on clothing are generally acceptable.
- Certain days may require specific dress. Interviews, presentations, conferences, meetings, coaching and training sessions, or when visitors are coming to the office, employees may be required to wear their professional attire. A shirt branding XTRM Group with clean jeans or kakis may be also accepted for certain employees.
- No dress code can cover all contingencies; therefore, employees must exert a certain amount of judgment in their choice of clothing. If employees experience uncertainty about acceptable or professional business casual attire, they are advised to ask their direct Manager for approval.
If clothing fails to meet the below standards, as determined by the employees and the Board of Directors, the offending employee will be reprimanded in accordance with the disciplinary policies and procedures of XTRM Group. If the problem persists, progressive disciplinary action will be applied for each dress code violation.
Suits
Suits should be of a traditional business style in dark, conservative colors. Always wear a shirt with a tie that is conservative in color, pattern, width, and length. While working without a jacket, wear dress slacks with a shirt and tie.
Shoes and Footwear
Black, dark brown, and cordovan or any other type of professional shoes and footwear are acceptable for work in all XTRM Group environments. If they are made of material that can be polished, keep them clean and polished. Socks should be a solid, dark color that matches the slacks.
Flip-flops, slippers, and any shoe with an open toe are not acceptable at work in XTRM Group environments due to safety violations. Boots are required in the manufacturing operation area. Exceptions to this rule may be accepted for women whose shoes should be practical, comfortable, and attractive.
Jewelry, Makeup, Perfume, and Cologne
Jewelry, makeup, perfume, and cologne should be simple and should not attract attention, they also should be in good taste. Remember, that some co-workers, clients, or visitors may be allergic to the chemicals in perfumes and make-up, so wear these substances with restraint.
Body piercing should be limited and, in some instances, removed or covered, to compile with safety and business regulations. Tattoos should be generally avoided whenever possible, and if not so, they should be limited and, in some instances, covered, especially if they may be offensive to co-workers, clients, or visitors.
The style and length of your hair should be easy to manage and should not call attention to itself. Wash your hair frequently, keep it relatively short and, evenly tapered. Some extreme or faddish styles may not be appropriate.
Hats and Head Covering
Hats are not appropriate in an office environment. Head Covers that are required for safety regulations are required from all XTRM Group’s staff, visitors, or partners while working or visiting in the manufacturing area. Head covers that are required for religious purposes or to honor cultural tradition are permitted.
Prohibited
- Ripped jeans, shorts, tank tops, crop tops
- Flip-flops or excessively casual footwear
- Clothing with offensive or political messaging
- Excessive jewelry or overpowering perfume/cologne
Construction Sites & Industrial Zones
Required Attire (PPE and Safety Gear):
- Hard hats
- High-visibility vests or jackets
- Steel-toe boots
- Durable work pants and long-sleeved shirts (no shorts)
- Safety goggles, gloves, and hearing protection as applicable
Additional Guidelines:
- Clothing must be flame-resistant (FR) in high-risk zones.
- PPE must be always worn as per site regulations.
- Clothing must be free from loose elements (scarves, jewelry) that may pose hazards.
Prohibited:
- Casual wear such as T-shirts without safety gear, sandals, or sportswear
- Untucked or oversized clothing that may cause entanglement
Fieldwork & On-Site Visits (e.g., rural areas, government offices, external stakeholder engagements)
Required Attire:
- Business casual with cultural sensitivity (e.g., avoiding overly bright or revealing clothing in conservative areas)
- Branded polo shirts or vests provided by XTRM Group (if required)
- Comfortable but professional footwear (boots or closed shoes)
- Identification badge and/or branded gear (hat, jacket)
Prohibited:
- Excessive casual or flashy clothing
- Inappropriate or disrespectful attire for local customs
Drivers and Transportation Personnel
Required Attire:
- Clean and pressed XTRM Group uniform (polo shirt or shirt with logo)
- Dark trousers or work pants
- Comfortable, enclosed shoes suitable for driving
- Company-issued ID badge visible always
Prohibited:
- Slippers, sandals, or bare feet while on duty
- Dirty or torn uniforms
- Personal accessories that hinder visibility or safe driving
Hygiene and Grooming
Personal hygiene must be always maintained (clean hair, nails, body, and clothing) as explained here above. Beards and hair must be trimmed or tied appropriately (especially for roles requiring PPE). Deodorant should be used, but strong scents should be avoided.
Policy Compliance
Supervisors are responsible for enforcing this policy. Employees not complying with the dress code may be asked to return home to change, with possible deductions for lost work time. Continued violations may result in disciplinary action in accordance with the HR policy.
